JOB TITLE:               Executive Administrator

DEPARTMENT:        Human Services

REPORTS TO:           Director of Human Services

SALARY GRADE:     Depending on Qualification and Experience

SUMMARY:

We are seeking an experienced, professional, and highly motivated individual to fulfil our Human Services Department at Cansayapi as our Executive Administrator. Candidate will provide high-quality senior management, oversee budgets, create reports, answer phone calls, and assist the Director. He or she is responsible for informing employees about department developments, communicating with finance department and human resources, communicating with vendors, and reporting to the Director. The Executive Administrator is accountable for the department’s budget monitoring, record keeping, and communication with both internal and external parties. The Human Services Department prides itself on its teamwork within the department and with the governmental departments; the Executive Administrator is a pivotal role where our collaboration will represent to our community.

EDUCATION AND EXPERIENCE:

  • Associates degree or other higher education is strongly preferred; but not required
  • Experience in prior administrative roles and capacity; required
  • High school diploma or general education development; minimum requirement
  • Knowledge and experience working with Native American communities, culture, customs, and tribal law; strongly preferred
  • Able to pass a requisite background check and urinary analysis

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintain accurate and real-time reports on Human Services Department Budget
  • Ensure that all company policies and procedures are adhered to; discuss any policy changes with the Director or Human Services; oversee the implementation of new policies; review current policies; and maintain documentation outlining all procedures, employee duties, department and community objectives
  • Assist the director on varying administrative tasks that may include, but not limited to, writing department memos, handling correspondence, scheduling meetings, drafting policy and procedures, assisting Family Services Supervisor and Woniya Kini Behavioral Health Services Supervisor as needed, ordering, etc.
  • Work directly with finance department on check requests, credit card authorizations, and reporting
  • Oversee basic office duties
  • Maintains quality assurance of Human Services
  • May be present in high stress and sensitive situations; must respond by remaining poised and professional
  • Receive evaluation of staff of the Human Services Department from Human Resources Department; assist the director and supervisors in completing reviews; record keeping of employee personal action forms, corrective actions, and unemployment matters
  • Coordinate the preparation of reports, data, and other documents necessary for grant reports
  • Report trends, other issues impacting the delivery of services to Director of Human Services
  • Collaborate and communicate with internal and external partners, meetings, committees as assigned
  • Other duties as assigned
